Unit information and Procedures

Deposit: Down payment of 30% is due within 5 days of making reservations.

Payment: Final payment is due 30 days prior to arrival. We gladly accept VISA, MasterCard, Discover, American Express, Money Order, Cashier’s Check, Cash and personal checks 30 days prior to arrival. NO personal checks will be accepted on arrival. A $50.00 bank charge will be applied for all returned checks.

Cancellation: We will do our best to re-rent your reserved accommodation for the same rate and time period. All cancellations must be received in writing at which time the property will be made available to another guest. Money will not be returned unless the property is re-rented at no financial loss to the homeowner, at which time a $75.00 cancellation fee will be charged. Once a reservation is made and confirmed, if for any reason a change needs to be made on the same home, a $50.00 change will be charged. If the change involves another property, it will fall under the cancellation policy.

Maximum Occupancy: Unit’s maximum occupancy at any time shall not exceed the maximum limit set. No more than one unit may be rented to the same responsible party. All of our properties are privately owned; therefore, it is the responsibility of Offlake Rentals to rent to family groups only. No sororities, fraternities or non-chaperoned groups are allowed. You must be 24/21 years of age or older to obtain a rental license. Any violation of these standards will be grounds for eviction without refund.

Check in – Check out: Check in time is after 4 p.m. at rental home. Check out time is by 11:00a.m. You are welcome to visit our office to pick up a house key before 5:00 PM.  Offlake Rentals provides a keybox with a key at each home or an electronic lock. You will receive the keybox code upon your reservation.  Simply push the 4 digit combination provided by Offlake Rentals and then pull knob to “open” thereby giving you access to keys or open the door with electronic entry.  Keys must be left in the lockbox upon departure.

Early Check in & Late Check out: It may be possible to arrange this for an additional fee of $20.  If this is of interest to you please contact Offlake Rentals to determine if this is possible for your reservation (cleaning & maintenance schedule dependent). 

Directions to Deep Creek Lake

From Baltimore, Washington & Northern Virginia: Take I-70 West at Hancock. Continue on I-68 West to Exit 14A. Take route 219 South at Keyser’s Ridge 14 miles. 

From Pittsburgh: Take route 51 south to Uniontown. Then take Route 40 East to Route 219 South at Keyser’s Ridge for approx. 14 miles.

From Wheeling WV, Columbus OH or Northern Pittsburgh: Take I-79 south onto 219 South and proceed approx. 2 miles.

Office location – RT 219 S, towards Oakland (8 miles south of Deep Creek Lake).  At stop light for Wal-Mart continue south to third building on left, just beyond Taco Bell.

 Upon confirmed reservation you will receive accurate directions & maps to the front door of your rental, along with keys or an access code to give you direct access to your vacation home.   


 REBATE OR REFUND: Tenant shall not be entitled to any compensation due to inoperative appliances or air conditioner. Agent, however, upon being notified of any malfunction, will make every effort to have any such appliances or air conditioner promptly repaired. TV’s, VCR’s, DVD’s, Grills, Pools, Hot Tubs, Tennis Courts, Game Rooms and other such amenities are not guaranteed. NO REFUNDS are guaranteed if they are inoperable due to breakdowns.

TRANSFER: Prior to 30 days of the arrival date any changes to a reservation, before it has been confirmed, may be assessed a $50.00 Administration Fee. Changes within 30 days will be handled the same as a cancellation.

BANK ACCOUNT; INTEREST:  Interest, if earned on deposited funds held by Management Company, shall be retained by and exclusively belong to Management Company consistent with applicable law.

SECURITY DEPOSIT WAIVER: Is a non-refundable $45.00 fee. The security deposit waiver covers accidental damages up to $500 as long as the damage is not willful, wanton or a result of gross negligent behavior.  Please notify our office if any damages occur so that we can file appropriate paperwork & make necessary repairs to keep the home in good order for the next guests.

PETS: In the event a pet is discovered in or around a rental unit without the permission of Offlake Rentals, agency has the right to evict guests immediately and all license fees will be forfeited.  In addition it may be necessary to perform remediation methods due to allergies.  If this is determined to be necessary renter will be responsible for paying all costs associated with this.  In this event Offlake Rentals will, upon request, supply renter with receipts.  ABSOLUTELY DO RESPECT HOMEOWNERS WHO REQUEST “NO PETS” BE PERMITTED AS ALLERGIES AND OTHER ISSUES MAY BE OF CONCERN.  If bring your dog is important we do offer many pet-friendly homes

PARKING: Condominiums and Town homes will be limited to a maximum of 2 vehicles per unit. Cars exceeding the limit will be towed at licensee’s own risk. For trailer storage you may contact D&W Storage @ 301-387-5481. Single family homes shall not exceed 1 car per 2 occupants.

CONDO’S/TOWNHOMES: All units are individually owned, therefore, DO NOT transfer items from one unit to another. You will be held responsible for any lost or missing items.

HOA’S & CONDO ASSOCIATION RULES: Each Association has different rules and regulations and will be posted in each unit. Some associations require information to be mailed in advance and should be included with your rental contract. Only two (2) cars allowed per unit. No grills are allowed on decks. No boat trailer parking is allowed in the townhouses/condo developments. If there is pool/tennis in the development you need the pass-key or combination. The hours are controlled by each individual association.

PHONES: Most units have phones, but not all.  If a house phone is critical please confirm with your reservationist that your selected home offers one. Long distance may require a calling card to make long distance calls.  You can receive unlimited incoming calls. House phone # provided upon confirmed reservation.

LINENS/TOWELS: “Linen ready” homes will have the beds dressed and towels distributed appropriately.  “linen optional” homes will, upon election & payment, have the linens distributed throughout the house.  The beds will have  folded linen.  The beds will generally not be made unless requested of Offlake Rentals (additional prep fee may apply).  A “Romance Package” of linen indicates that there will be necessary bedding for one bed & towels for 2.  Our regular linen service, if elected, supplies all bed linen & towels/wash clothes for the maximum occupancy. Towels are not to be removed from the unit. Should the linen count indicate missing linen, your account will be charged accordingly.

FIREPLACE: If fireplace is used, DO NOT remove hot ashes make sure fire is out before leaving unit and be sure to leave damper open. Damper must be opened before starting a fire. Offlake Rentals strongly discourage the use of firewood for safety & convenience reasons; rather we encourage using "firelogs", often provided at the Rental Home. There is an "honor bag" available if you choose to use these logs. These firelogs are easy to use and burn out after a few hours on their own - easy and inexpensive to use and quite lovely to nestle in front of!  They can also be purchase at many area merchants.

RefrigeratorA common mistake some vacationers make, which can make your trip less enjoyable, is to overload the refrigerator upon arrival and turn the coolant setting to a colder setting. While this 'could' cool your food faster, it can also freeze the thermocouple. Should the thermocouple freeze, it will cause your refrigerator, verified operational prior to your arrival, to not blow cool air into the refrigerator. Unfortunately if this happens the only 'repair' is to simply wait for the thermocouple to thaw. DO NOT CHANGE THE TEMPERATURE SETTING in the refrigerator to avoid this problem! Another potential problem that you should avoid is to load so much food in the refrigerator that you block the cooling ducts in the fridge. Should you do this the cold air cannot blow adequately 

HOT TUBS AND PRIVATE POOLS: Some of our homes offer private hot tubs and some offer indoor/outdoor Private pools. Owner and Offlake Rentals assume no responsibility for the use of these. 

RENTABILITY: If after a tenant takes occupancy and the unit is damaged through no fault of the tenant and is unfit for occupancy, the lease shall terminate and the tenant shall surrender possession. The rent at that point will be prorated as of termination. If the property ownership changes, this reservation is not guaranteed. In the event this unit is not rentable or is removed from the rental market, Offlake Rentals reserves the right to assign a unit of equal or higher quality or refund the prorated rent to the renter. If for any reason, the license agreement is terminated by the property owner, Offlake Rentals will make every effort to relocate the licensee in a reasonable comparable rental property. If no comparable or acceptable property can be found, the sole limit of Offlake Rentals liability is the full refund of all monies paid on the original reservation. It is mutually agreed that Offlake Rentals is acting as agent only for the owner, and is receiving a commission for service, and has no liability to either party for the performance of any term or covenant of this agreement.

WINTER Driving Conditions: Guest understands that Garrett County offers wonderful Winter activities. This is caused by the Winter weather generally experienced. Therefore Offlake Rentals can assume no liability for Winter road conditions. We do encourage renters to travel with emergency equipment such as a bag of cat sand, flares, blanket, and other items that may be necessary should guest be temporarily stranded. Some Offlake Rentals homes may require AWD or 4WD to ensure access in storm conditions. Please take your time while travelling.

Snow Removal: Driveways will be plowed when 3" or more of snowfall occurs during guest stay. Generally snow is not removed until the snowstorm ends by the County and State Roads crews and also by private plow operators. If your driveway has not been plowed within an hour or so of the snowfall stopping please call our office so that we can follow up with the plow operators.

ITEMS LEFT BEHIND:  Offlake Rentals is not responsible for items left behind. We will make every effort to attempt to locate the items and upon receipt of postage and handling fee ($10 handling fee + actual postage), the recovered items will be returned. All unclaimed items after 48 hours shall be considered abandoned.

BOAT LAUNCH: The DNR prohibits the launching of any power watercraft from any private property. Please use public ramps.

CONSTRUCTION:  Deep Creek Lake is a thriving resort community and new construction is a part of that community. If your rental unit is near new construction, please be understanding. We will attempt to contact the contractor concerning noise; start time, etc., if necessary, but no refunds or moves will be made.

GRILLS: Please do not place grills on the decks or inside the unit. Grills are generally stored for Fall and Winter Season, are not serviced, and are not guaranteed. (Propane is provided for gas grills in season; Charcoal is not provided for Charcoal Grills).

NOISE: Please be considerate of others when you are using the vacation rental. Garrett County has an enforced "Quiet Hours" between 10PM and 8 AM - please respect this to avoid conflict with neighbors. PLEASE DO NOT litter.

CAUSE FOR EVICTION AND IMMEDIATE FORFEITURE OF RENT Includes but is not limited to:  subletting or assignment of this license, activity constituting a nuisance of which is offensive or disruptive, exceeding the occupancy limit, bringing a pet without written permission, destruction of property and any illegal use of property.

ACCOMMODATIONS: Offlake Rentals and its agents make a reasonable effort to match the needs and wishes of each licensee with the available accommodations. However, in some instances the accommodations may not meet the licensee’s expectations. Licensee’s making a license for a property sight unseen must assume a reasonable degree of risk in the terms of expectations and satisfaction with the accommodations. Please note that all vacation rentals are privately owned and decorated to the individual owners’ taste.

VISITATION: Owner/agent shall have the right to access the premises during rental to make repairs, inspections, or to show property for sale/rent.  Reasonable notice will be provided prior to entering the home.

OUTDOOR FIRES: Outside fires are not permitted on property unless there is a designated fire-pit.

TENANT AGENCY RELATIONSHIP: Both parties agree that the relationship established between them is that of licensor and licensee, not landlord and tenant. And that no landlord/tenant relationship is established by this agreement and it is merely a license to occupy.

ACCIDENTS TO TENANT: Tenant hereby agrees to hold and save harmless Offlake Rentals, agent and owner from damages or injuries to person or property by reason of any cause whatsoever either in or about the premises or elsewhere.

CLEANING: Upon leaving the unit you are responsible for removing all trash from unit to designated toter/dumpster, clean and put away all dirty dishes, remove food from refrigerator, close and lock all windows and doors, return all furniture to original location, bedding left “as is”, units with private hot tubs – make sure the water level is above the filter and lock the cover in place, report all damages to rental office, turn heat back to 55 degrees in the winter and air conditioning off in the summer, and leave keys on the kitchen counter and lock door behind yourself.

      Renters Cleaning Fee: This fee is to cover the cost of “routine” cleaning associated with your stay. (Ex: Vacuuming, Mopping, Dusting, minimal trash removal, etc.)

     Additional Cleaning Charges: In the event, that during your stay, “Non-routine” cleaning needs to be performed afterwards, an additional charge for the amount of cleaning services will be charged to the credit card on file.  Non- routine cleaning is described as, but not limited to, washing walls, excessive garbage removal, professional carpet cleaning for muddy carpets, etc. In addition, the renter will receive an email and/or letter containing documented photographic evidence showing the “non-routine” cleaning issues being addressed, as well as a Vendor Invoice for correction of the conditions.

By submitting this form, I acknowledge that I have read and agree to the terms and conditions on both sides of agreement and agree to have charges noted above charged to my credit card. I will sign and return one copy to Offlake Rentals along with signed hot tub release if appropriate. I will also include a copy of the drivers license matching name used on lease and credit card with this fax. All checks made payable to Offlake Rentals.

 We require our renters to fax or email a copy of their drivers license after submitting this online lease.  Offlake reserves the right to refuse rental to any guest we do not feel is a good fit for our homes, so long as we maintain documentation as to reason and there is no discrimination or fair housing concern.
